What Belongs on an Auto Repair Invoice?
An auto repair invoice is part bill, part service record. The customer uses it to pay you today — and to prove the vehicle's maintenance history when they sell it, claim warranty work, or dispute an insurance estimate years later. That is why every repair invoice should identify the vehicle precisely: year, make, model, and plate or VIN, plus the odometer reading at the time of service. This template prints those details on the invoice automatically.
The other convention that matters is separating parts from labor. Customers accept a $430 invoice far more readily when they can see $240 of parts and 2 hours of labor at a stated shop rate than when they see one opaque number. It also keeps your records clean for warranty claims on parts.
Repair Invoice Checklist
Vehicle identification — year/make/model, plate or VIN, odometer
Parts lines — each part with its price; note OEM vs aftermarket if relevant
Labor lines — hours × shop rate, using the hours column as quantity

Frequently Asked Questions
How do I bill labor in hours?
Put the hours in the quantity column and your shop rate as the unit price — e.g. 2 × $95. Many shops bill in tenths of an hour (1.3 hrs); the quantity field accepts decimals.
Estimate first or invoice straight away?
For anything beyond a routine service, give a written estimate first — many regions legally require authorization before work begins, and exceeding an estimate by more than ~10% without approval can make the excess uncollectable. Use our Quote / Estimate template, then convert to this invoice when the work is done.
Should I mark up parts?
Most shops apply a margin on parts — it covers sourcing time, returns, and warranty handling. Show the parts price you charge (not your cost); itemize each significant part on its own line.
What warranty should I state?
State whatever you actually honor — commonly 90 days to 12 months on labor and the manufacturer's warranty on parts. Putting it on the invoice (with the odometer reading) protects both sides when a customer returns months later.
