What Is a Payment Receipt?

A receipt is written proof that a payment has been made. While an invoice asks for money, a receipt confirms money was received — it states what was paid for, how much, when, and by what payment method. Businesses issue receipts after cash sales, deposits, final invoice payments, and refunds, and customers rely on them for returns, warranties, expense claims, and tax records.

This receipt maker works exactly like our invoice builders: everything is generated in your browser, nothing is uploaded, and the PDF downloads instantly. Use it for cash payments where no card terminal receipt exists, for deposits and part-payments, or to give clients a clean record after they settle an invoice.

What to Include on a Receipt

  • Receipt number — sequential, like RCT-2026-001, so your records stay auditable
  • Payment date — the date money changed hands, not the invoice date
  • Your business details — name, address, and contact information
  • Payer details — who paid you
  • What was paid for — line items or a reference to the invoice being settled
  • Payment method — cash, card, bank transfer, PayPal, or other
  • Amount received — including any tax breakdown if applicable

Frequently Asked Questions

What is the difference between a receipt and an invoice?
An invoice is a request for payment issued before money is received; a receipt is confirmation issued after. If a client asks for proof of payment, they want a receipt. If you are asking to be paid, send an invoice — you can create one with any of our invoice templates.
Am I legally required to give customers a receipt?
Rules vary by country and transaction type. Many jurisdictions require receipts for cash transactions over a certain amount, and consumer-protection laws often require them on request. Even where not required, issuing receipts is good practice — it protects both sides if a dispute arises.
Can I use this for a deposit or partial payment?
Yes. Describe the line item as a deposit (e.g. "50% deposit — kitchen renovation") and note the remaining balance in the notes field, so the receipt shows what was paid and what is still owed.
Should a receipt show tax?
If the sale included VAT, GST, or sales tax, show it — many customers need the tax amount for expense claims or input-credit purposes. Set the tax rate field to the rate you charged, and the receipt will show the breakdown automatically.
